Bookings, Payments & Deposits
A booking is only confirmed once the required payment or deposit has been received, where applicable.
Some services require full payment at the time of booking, while others require a deposit to secure the appointment.
Full Payment Required at Booking
Detailed Safe Wash
Deposit Required at Booking
Deep Clean Valet – £30 deposit
Detailing Packages – £100 deposit
Deposits are deducted from the final service price and secure the agreed appointment date, time, and business resources allocated to the booking.
The remaining balance is due immediately upon completion of the service unless the service has already been paid in full or is covered by an active Maintenance Plan or Annual Maintenance Retainer.
All deposits and prepaid bookings are non-refundable, subject to the cancellation and rescheduling policy below.
Any booking made without the required payment or deposit is not confirmed and may be released to another customer.
2. Rescheduling & Cancellations
-
A minimum of 48 hours’ notice is required to cancel or reschedule an appointment.
-
If an appointment is cancelled or rescheduled with less than 48 hours’ notice, any deposit or payment made will be retained.
-
Failure to attend the appointment, failure to provide access to the vehicle, or failure to be present to hand over the vehicle when required will be treated as a no-show. In these circumstances, any deposit or payment made will be retained.
-
If the vehicle is inaccessible on arrival, including but not limited to no keys being available, an unsafe working location, a locked vehicle, or no suitable parking, the appointment may be cancelled and any deposit or payment made may be retained.
-
For mobile appointments, if Platform Auto Detailing determines that weather conditions make it unsafe or impractical to carry out the service to the expected standard, the appointment will be rescheduled and any payment or deposit already made will be transferred to the rearranged booking.

Operational Delays Following Fire Service Duties

-
Platform Auto Detailing is owned and operated by a serving firefighter working a set shift pattern. On rare occasions, operational incidents, emergency call-outs, extended incidents, late finishes, or lack of rest following a night shift may affect our arrival time or require an appointment to be rescheduled.
-
Where this happens, Platform Auto Detailing will make every reasonable effort to notify the customer at the earliest opportunity. All appointments will still be honoured unless the customer confirms that the later start time is no longer suitable. In this case, Platform Auto Detailing will work with the customer to arrange a suitable alternative date and time at no additional cost.
-
On very rare occasions, Platform Auto Detailing may need to reschedule an appointment following a night shift due to operational demands, extended incidents, or lack of/no sleep. This is sometimes unavoidable due to the nature of serving within the Fire Service.
-
By booking with Platform Auto Detailing, the customer accepts that delays or rescheduling may occasionally occur specifically due to the owner’s Fire Service duties. Platform Auto Detailing will always act reasonably, communicate as soon as possible, and offer suitable alternative appointment options where required.
-
If Platform Auto Detailing needs to reschedule for this reason, the customer will not incur any additional charges. However, if the customer chooses to cancel rather than accept a reasonable alternative appointment, the original booking deposit will remain non-refundable.
-
Customers are entitled to provide honest feedback about their experience. However, where a delay or reschedule occurs specifically as a result of Fire Service duties, operational incidents, emergency call-outs, extended incidents, or lack of rest following a night shift, the customer agrees not to publish, post, share or imply any false, malicious, misleading or defamatory statements suggesting that Platform Auto Detailing has acted unprofessionally, failed to honour the booking, deliberately let the customer down, or operates unreliably.
-
Where false or misleading statements are made in relation to a Fire Service-related delay or reschedule, Platform Auto Detailing reserves the right to request that the content is removed, amended or corrected. Where necessary, further action may be taken to protect the business, its owner, and its professional reputation.
Late Cancellation Fees for Premium Bookings
For larger bookings where a full working day, or significant preparation time, has been reserved, including but not limited to detailing packages, ceramic coatings, or correction work, Platform Auto Detailing reserves the right to invoice up to the full booking value where less than 48 hours’ notice is given.
This reflects the loss of a reserved working day that is unlikely to be filled at short notice.
Any outstanding balance invoiced under this section becomes immediately payable.
Failure to pay may result in debt recovery action or legal proceedings, and all associated recovery costs, legal fees, and expenses may be added to the amount owed.

3.Payments
Unless already paid in full at the time of booking, all balances are due immediately on completion of the service.
Accepted payment methods include:
-
Cash
-
Bank transfer
-
Card payment in person
-
Card payment via the Wix booking system
-
Invoice payable immediately on completion
-
Clearpay & Klarna instalments for selected services only, as set out in Section 3A
-
Maintenance Plan and Annual Maintenance Retainer payments are handled online.
-
The Monthly Maintenance Plan is charged at £75 per month on a recurring basis. This payment secures one professional maintenance visit per calendar month and reserved diary space.
-
The Annual Maintenance Retainer is charged at £750 upfront for 12 months. This includes one maintenance visit per calendar month for 12 months, giving the customer 12 visits for the price of 10 compared with the Monthly Maintenance Plan.
-
By joining a Maintenance Plan or purchasing an Annual Maintenance Retainer, the customer agrees to the relevant plan terms, payment terms, missed appointment policy, and cancellation policy set out in these Terms & Conditions.
-
Failure to pay upon completion may result in debt recovery action, and any recovery fees, legal costs, or additional charges incurred may be added to the outstanding balance.
-
Payments made online confirm acceptance of these Terms & Conditions and all associated booking policies.
-
Chargebacks or payment disputes raised without valid grounds may result in legal action to recover the full service value and all associated costs.

3A. Clearpay & Klarna Instalments
-
Clearpay and Klarna instalment payments are available on selected services only:
-
Deep Clean Valets
-
Single Stage or Multi Stage Details
-
New Car Protection Details
-
Approval is subject to acceptance by the finance provider.
-
If instalment finance is declined, an alternative payment method must be used to secure the booking.
-
By choosing Clearpay or Klarna, the customer enters into a separate agreement with that provider. Platform Auto Detailing is not responsible for declined applications, missed payments, interest, fees, or charges applied by the provider.
-
If an instalment payment is disputed, blocked, reversed, or otherwise fails after the service has been completed, the customer remains fully liable for the full value of the service.
-
Legal action may be taken to recover any unpaid balance.

3B. Gift Cards / Gift Vouchers
-
Gift cards or gift vouchers purchased from Platform Auto Detailing:
-
are non-refundable and cannot be exchanged for cash
-
may be transferred to another person
-
may be used as full or part payment towards any service
-
must be redeemed before the expiry date stated on the card or voucher
-
Lost, stolen, expired, or unused gift cards or vouchers cannot be replaced or refunded.

4. Vehicle Condition & Additional Charges
All prices are based on vehicles being in a condition reasonably consistent with the service booked.
Vehicle condition will be assessed on arrival.
Any estimate provided before the appointment is based on the information supplied by the customer and may change once the vehicle has been inspected.
Additional charges may apply for excessive contamination or work beyond what would normally be expected for the booked service, including but not limited to:
-
pet hair
-
mud or sand
-
mould
-
vomit, urine, blood, or bodily fluids
-
heavy staining
-
excessive neglect
-
heavy tar contamination
-
sap
-
overspray
-
severe fallout
-
specialist contamination removal
Any additional charges will always be explained and agreed before work continues.
If the customer declines the revised cost, the service may be refused and any deposit paid may be retained.
Platform Auto Detailing reserves the right to refuse work on vehicles that are unsafe, hazardous, heavily infested, or present a contamination risk.
5. Damage, Defects & Customer Acknowledgement
Platform Auto Detailing is not responsible for damage, failure, or deterioration arising from:
-
pre-existing scratches, swirls, chips, dents, or defects
-
poor previous repairs, poor resprays, or unknown paint history
-
failing lacquer, peeling paint, or weak trim finishes
-
electrical faults caused by existing leaks, water ingress, or pre-existing defects
-
loose, damaged, or poorly fitted trim
-
aftermarket accessories failing during cleaning
-
pre-existing wear to fabrics, leather, plastics, rubbers, or delicate surfaces
-
Cleaning, valeting, or detailing may reveal pre-existing defects that were previously hidden by dirt, staining, contamination, or poor lighting. This does not mean the service caused the defect.
-
No service guarantees the complete removal of all stains, odours, scratches, swirls, or defects. Results will always depend on the vehicle’s age, condition, materials, and prior history.
6. Service Preparation Requirements
Some services require the vehicle to be at a suitable starting standard before the booked work can be carried out properly.
Vehicles booked for detailing packages, ceramic coatings, or ongoing Maintenance Plan visits may require additional preparation work beforehand, depending on condition.

Where additional preparation work is required, this will be explained before work begins and may result in:
-
a Deep Clean Valet being required first
-
additional preparation charges
-
the service being rescheduled

If the customer declines the preparation work required, Platform Auto Detailing reserves the right to refuse or reschedule the booking.

7.Maintenance Plan & Annual Maintenance Retainer
-
The Platform Auto Detailing Maintenance Plan is available by approval only and is designed for vehicles that have already received a qualifying service from Platform Auto Detailing, such as a Deep Clean Valet, Gloss Enhancement Detail, Paint Correction Detail or New Car Protection Detail.
-
The Maintenance Plan is designed to maintain a vehicle that is already at a high standard. It is not intended as a one-off deep clean, restoration service, neglected vehicle clean, or heavy contamination removal service.
-
Platform Auto Detailing offers two maintenance payment options:
-
Monthly Maintenance Plan
-
The Monthly Maintenance Plan is charged at £75 per month on a recurring basis. It includes one professional maintenance visit per calendar month and can be cancelled with 30 days’ notice.
-
Annual Maintenance Retainer
-
The Annual Maintenance Retainer is charged at £750 upfront for 12 months. It includes one professional maintenance visit per calendar month for 12 months, giving the customer 12 visits for the price of 10 compared with the Monthly Maintenance Plan.
-
Monthly maintenance visits include general ongoing exterior and interior maintenance appropriate to the vehicle’s condition, size, usage and previous service history.
-
Every 3rd completed monthly maintenance visit includes a maintenance decontamination wash. Missed, cancelled, skipped or forfeited visits do not count towards this. The maintenance decontamination wash is designed to help remove light bonded contamination, road film, fallout and grime. It does not include heavy tar removal, sap removal, overspray removal, clay barring, severe contamination, neglected paintwork or specialist contamination removal.
-
Unused maintenance visits do not roll over. Visits cannot be stacked, saved, transferred or used as additional visits later in the year. Each plan includes one maintenance visit per calendar month only.
-
Missed appointments will still be charged. If a vehicle is unavailable, access cannot be gained, keys are not available, the appointment is missed, or the appointment is cancelled too late, that month’s visit will be forfeited unless otherwise agreed by Platform Auto Detailing.
-
Missed, cancelled, skipped or forfeited visits do not create credit, carry-over value, refund entitlement, or entitlement to future discounted work.
-
If excessive contamination is present at the time of a Maintenance Plan appointment, additional charges may apply, or a Deep Clean Valet may be required before ongoing maintenance can continue.
-
The Maintenance Plan is not suitable for heavily neglected vehicles or vehicles with excessive dirt, pet hair, staining, mould, bodily fluids, strong odours or heavy contamination. Additional charges may apply if the vehicle requires extra time, specialist cleaning or a reset service.
-
If too much time has passed between maintenance visits, or the vehicle has fallen below a maintainable standard, Platform Auto Detailing reserves the right to require a Deep Clean Valet before accepting the vehicle back onto the Maintenance Plan.
-
Maintenance Plans and Annual Maintenance Retainers are non-transferable and apply only to the approved vehicle. Changing vehicles may require reassessment and may affect eligibility, pricing or continuation of the plan.
-
The Monthly Maintenance Plan can be cancelled with 30 days’ notice. No refunds are given for unused visits, missed appointments, forfeited visits or cancelled months once payment has been taken.
-
The Annual Maintenance Retainer is paid upfront for a 12-month period. No refunds are given for unused visits, missed appointments, forfeited visits, cancelled months, or early cancellation once the retainer has started.
-
Platform Auto Detailing reserves the right to suspend, refuse, pause or cancel a Maintenance Plan or Annual Maintenance Retainer where:
-
appointments are repeatedly missed or cancelled at short notice
-
payment fails or is not made when due
-
the vehicle repeatedly presents in unsuitable condition for maintenance
-
the vehicle requires work beyond the intended scope of maintenance
-
the service is being used outside of its intended purpose
-
abusive, aggressive, threatening or unreasonable behaviour occurs
By joining the Monthly Maintenance Plan or purchasing the Annual Maintenance Retainer, the customer agrees that the plan is for consistent monthly maintenance only, not one-off deep cleaning, heavy restoration work, or neglected vehicle recovery.
8. Ceramic Coating Warranty
Ceramic coatings are installed with a warranty provided jointly by Platform Auto Detailing and Reign by Performance PPL, where applicable.
A digital warranty certificate will be issued after completion of the work and full payment.
Warranty validity may require proof that the vehicle has been properly maintained.
The warranty may be void if:
-
incorrect washing methods are used
-
unsuitable or poor-quality chemicals are used
-
roadside hand car washes are used
-
the vehicle is neglected
-
recommended aftercare guidance is ignored
-
A Safe Wash Guide is available upon request.
-
No warranty is available for a 1 year or 3 year ceramic coating.

9. Photography & Media
Vehicles may be photographed or recorded for:
-
condition records
-
marketing, advertising, website, and portfolio use
-
By booking a service, the customer gives consent for photography and video unless written notice is given before the appointment.
-
Number plates will only be blurred if requested before work begins.

10. Access, Utilities & Parking for Mobile Services
For mobile appointments, customers must provide:
-
a safe working area
-
sufficient space to open doors fully
-
access to the vehicle and keys
-
safe and suitable parking for the Platform Auto Detailing vehicle
-
access to a working outdoor water supply
-
access to a standard household electrical outlet
-
Water and electricity are required for most mobile services to be carried out safely and to the expected professional standard, unless otherwise agreed in advance.
-
If water, electricity, safe access, or suitable parking is not available on arrival, and no prior agreement has been made, Platform Auto Detailing reserves the right to reschedule or cancel the appointment and retain any deposit or payment made.

11. Studio Work
-
For studio-based detailing appointments, vehicles may need to be dropped off the evening before the booking unless otherwise agreed.
-
Vehicles may be stored securely inside the studio overnight where required.
-
Failure to deliver the vehicle at the agreed time may result in the booking being rescheduled and the deposit retained.
-
Late collection may result in storage charges if this causes inconvenience, disruption, or prevents business operations.

12. Personal Belongings
-
Customers are responsible for removing all personal belongings, valuables, loose items and important documents from the vehicle before the appointment.
-
Platform Auto Detailing accepts no responsibility for any loss of, or damage to, personal belongings or valuables left inside the vehicle before, during or after the service.
-
Where personal belongings are found during the appointment, they will be gathered carefully and placed into a bag where possible. This bag will usually be left in the boot of the vehicle at the end of the appointment.
-
Any valuables found inside the vehicle, such as money, jewellery, bank cards, keys, electronic devices or other high-value items, may be recorded for transparency and placed with the customer’s belongings.
-
Platform Auto Detailing will always take reasonable care when handling items found inside the vehicle, but customers remain responsible for ensuring the vehicle is emptied before the appointment.

13. Acceptance of Terms & Governing Law
By booking a service, paying a deposit, making an online booking, joining a Maintenance Plan, purchasing an Annual Maintenance Retainer, allowing work to be carried out, or ticking the Terms & Conditions checkbox, the customer confirms acceptance of these Terms & Conditions in full.
These Terms & Conditions are governed by the laws of England and Wales. Any dispute arising in connection with them shall be subject to the jurisdiction of the courts of England and Wales.
